How HumaniNet Uses GroupSpace Roles

How our workflow defines who can do what, from a Plone perspective

State: Group Only (default)

  • GroupVisitors can view an item and make comments.
  • GroupMembers can view, comment on, and edit items within the GroupSpace.
  • GroupLeaders can view, comment on, and edit items.  In addition, they can also submit items for publication, and add existing site users to the GroupSpace. For now, GroupAdmins are essentially the same.

State: Subscribers

The "Subscribers" state means that anyone with an account on the site can find the item by going directly to a link, clicking on it in the navigation section on the left of the screen or searching.  They will be able to view the item and make comments, if comments are enabled for that item.

Once an item is shown to subscribers, it can only be edited by managers or reviewers.  If major edits need to be made, the item should be retracted, edited, and then re-submitted for publishing.

State: Published

The Published state indicates that an item is viewable and searchable by any internet user, search engines, etc.  As with the Subscriber state, editing is restricted.

Special States

State: Archive

Only the original owner of the GroupSpace and site managers can see the items, and only managers can make any changes. This state indicates that the item should be saved to PDF or HTML format and deleted from the site.

State: Private

Only the original owner and site managers can see it. Unlike archive, this state indicates that the item is still in use, and should not be removed from the site.
